1. Who we are

Open Link Company is a trading name of OLCOMPANY LTD, a company registered in England and Wales (company number 15753831) with its registered office at Suite 616, Castlemead, Lower Castle Street, Bristol BS1 3AG. OLCOMPANY LTD is responsible for the personal information described in this notice. In data protection law this makes us the controller of that information.

You can contact us about anything in this notice:

2. What we collect and why

We only collect what you give us, or what is needed to run the website safely. You do not have to give us any information, but we need a way to contact you to reply, and we cannot buy, sell or consign a piece without the details listed below.

Form or situationWhat we collectWhyLawful basis
Selling your watch: the sell form and the ‘Selling a watch?’ box Your name, phone number and/or email address, where you are based, details of the watch (make, model, reference, condition, box, papers and receipts), any photos you add and your message. The ‘Selling a watch?’ box asks only for a short description of the watch, which you can leave blank, and opens WhatsApp with it. If you choose email instead, it also asks for your email address. To give you a figure, answer your questions and arrange to buy the watch. Steps you have asked us to take before a contract. Following up on your request afterwards is in our legitimate interests.
Consigning a watch or jewellery Your name, email address and phone number, details of the item and its condition, any photos you add and the price you hope for. To value the piece, agree terms with you and run your consignment, including listing it for sale and paying you when it sells. If we list your piece, we may show some of the photos you sent on the listing. We choose each one by hand and leave out papers, certificates, serial numbers and anything that shows you. Listings never show your name. Our contract with you, or steps you have asked us to take before one. Legal obligation, for our sale and tax records.
Your consignor dashboard Your consignment reference and access code. They are remembered on the device you use so you do not have to type them again. To show you how your consignment is progressing and let you approve prices or ask to withdraw your piece. Our contract with you.
Selling to us or consigning in person Your photo ID (passport or driving licence), which we check when you bring the item in, and for consignments your proof of address. Your bank details if we pay you by bank transfer, and the details of the purchase or consignment. To confirm who you are and that the item is yours to sell, to protect against fraud and stolen goods, to pay you and to keep proper business records. Our contract with you. Legal obligation, for our accounting and tax records. Our legitimate interests in preventing fraud and the sale of stolen goods.
Watch enquiries, viewing requests, offers and ‘notify me’ Your name, email address or phone number, your message, the piece you are asking about, any offer you make and your preferred day and time for a viewing. To reply to you, arrange a viewing, discuss an offer or tell you when a similar piece comes in. Steps you have asked us to take before a contract, and our legitimate interests in answering enquiries.
Sourcing, repairs and gold and silver quotes Your name, email address or phone number, and the details you give us: the piece you are looking for and your budget, the work your watch needs, or the items you would like priced. To reply with what is possible, a quote or a figure. Steps you have asked us to take before a contract, and our legitimate interests in answering enquiries.
The newsletter Your email address. To send you new arrivals and offers by email. Your consent. You can withdraw it and unsubscribe at any time by replying to any of our emails or contacting us.
Contacting us directly by phone, WhatsApp, email or social media Your name, number or email address and whatever you choose to tell us. To reply and help with what you asked. Steps you have asked us to take before a contract, or our legitimate interests in answering enquiries.
Buying from us Your name, contact details and delivery address, what you bought, records of your payment and our messages about the purchase. To complete the sale, deliver the piece, deal with any return or claim, and keep our accounts. Our contract with you. Legal obligation, for our accounting and tax records.
Visiting the website Your IP address and technical details such as your browser and device, which our host processes as you load pages. Our server also uses your IP address briefly to limit spam and repeated sign-in attempts. We count views of a listing without storing your IP address. To deliver the website, keep it secure and stop abuse. Our legitimate interests in running a secure and reliable website.

We do not make decisions about you by automated means, and we do not build profiles of you for advertising.

3. Who sees your information

  • Open Link Company. Your details are seen only by the people who run the business and look after this website.
  • Our service providers. Cloudflare hosts this website, the database that stores your enquiries and consignments, and the photos you upload. Our email providers carry our emails, including notifications of new website enquiries and our replies to you. They act on our instructions and may not use your information for their own purposes.
  • WhatsApp (Meta), only if you choose to message us there. Some of our forms, such as viewing requests, also open WhatsApp with your message filled in. Nothing is sent on WhatsApp unless you press send. WhatsApp handles your messages under its own privacy policy.
  • Google, only if you choose ‘Show map’ on our About page or follow one of our links to Google Maps or Google reviews. Google then receives your IP address, and may set its own cookies, under its own privacy policy.
  • Couriers (FedEx or DHL), if you buy a piece for delivery. They receive your name, delivery address and phone number so they can deliver it.
  • The watchmaker we work with, if you ask us to service or repair a watch, or approve a service on a consigned piece. They receive the watch and the details of the work needed.
  • Professional advisers, such as our accountant, solicitor or insurer, where they need it to advise us. Authorities such as HMRC or the police, where the law requires it.

We never share a seller’s or consignor’s name with buyers, and we never share client details with other clients. We do not sell your information to anyone.

4. Outside the UK

Some of our service providers may process information outside the UK. Where they do, the transfer is covered by UK adequacy regulations or by approved contract terms that protect your information to the standard required by UK law.

5. How long we keep it

  • Enquiries that do not lead to a purchase, sale or consignment, including any photos sent with them: up to 12 months after our last contact with you.
  • Purchase, sale and consignment records, including the photos, payment details and ID checks that belong to them: six years after the end of the accounting year they relate to, for tax and accounting purposes.
  • Newsletter: your email address until you unsubscribe.
  • Messages by WhatsApp, email or phone: on the same basis as the enquiry, purchase, sale or consignment they relate to.
  • IP-based records used to limit spam and repeated sign-in attempts: deleted within two days. To count each visitor once a day on a listing, we keep a scrambled code made from your IP address for up to three days, never the IP address itself.

6. Cookies and storage

We do not use advertising or analytics cookies, and we do not track you across other websites. Our fonts are served from our own website.

To make the site work, it stores a few small things in your browser on your own device. We cannot see them, and they are not sent to anyone:

  • the pieces you save as favourites;
  • whether you have closed the ‘Selling a watch?’ box, so it does not keep appearing;
  • unfinished sell and consignment forms, including any contact details you typed, so you do not lose your answers (photos are not saved);
  • your consignor reference and access code after you submit a consignment or log in to your dashboard (pressing ‘Log out’ on the dashboard removes them);
  • your choice to pause moving banners and videos;
  • your last shop filters, for this visit only.

You can clear these at any time in your browser settings. The site still works without them; it just will not remember these choices.

7. Keeping it safe

Enquiries and consignment details are stored securely with Cloudflare and can be viewed only by us, through a protected admin area. Your consignor dashboard is protected by your reference and a private access code, so please keep the code to yourself. Photos you add on our forms are resized on your device before they are sent, which also removes hidden details such as where the photo was taken.

8. Your rights

Under UK data protection law you have the right to:

  • access the personal information we hold about you and receive a copy;
  • correct anything that is wrong or incomplete;
  • erase your information, where we no longer have a good reason to keep it;
  • restrict how we use it, for example while we check a correction;
  • object to us using it on the basis of our legitimate interests, and to stop marketing at any time;
  • data portability: receive information you gave us in a common format, or have it sent to someone else;
  • withdraw your consent at any time, where we rely on it, such as for the newsletter.

To use any of these rights, contact us by email, phone, WhatsApp or post using the details in section 1. There is normally no charge. We may need to confirm who you are before we act. We reply within one month, and if a request is complex we will tell you within that month if we need up to two more.

9. Complaints

If you are unhappy with how we have handled your information, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection: ico.org.uk, or by phone on 0303 123 1113.

10. Changes to this notice

We will update this notice when we change how we use personal information, and show the date of the latest version here.
